How we chose a service for electronic document management with customers

Khabrovchane, I share my research. In March, they were looking for the best electronic document management operator. Well, the best. We chose the one whose service is more suitable for our company. For a week, I had to study the 7 most famous ones - we compared them in terms of parameters: from the possibilities of integration with 1C to the quality of technical support. But first things first…

How we chose a service for electronic document management with customers

How it all began

In order to avoid problems with the law, we decided to use the service for legally significant electronic document management. At the first immersion in the topic, we found out that we would have to choose from 30+ options. In any case, so much was found on the Internet. I didn’t want to deal with everyone in detail, and there was little time. Therefore, we learned from counterparties what they use. This helped to narrow down the number of applicants to the 7 most popular ones.

So let's take a look at the services:

If you need a history of development companies, rummage through the sites (links in sources). Spoiler: it is similar for everyone - they started as services for submitting tax returns, then they began to provide services for the exchange of electronic documents between counterparties. Exceptions: Sphere Courier and E-COM - originally worked as EDI providers, Synerdocs - grew out of an internal document management system. And finally, there is an important difference between the products from Taxcom and Kaluga Astral - they are built into the solution from 1C.

Compared according to the following parameters:

1. Minimum rates

2. Availability of demo access

3. Technical support

4. Integration

5. Mobile solution

6. Exchange in roaming

1. Minimum rates

We began to collect data on services from the cost of services. And now I have two news for you. Good - absolutely all incoming traffic from all operators is free, you will be required to pay only for outgoing documents. The bad news is that it is very difficult to deal with the prices that are indicated on the sites. And all because the billing and the principle of payment for all services are built differently.

I note right away that only the minimum tariffs were considered. We do not have a lot of counterparties, the volume of document flow is not very large, and we did not want to spend a lot of money at the start.

Contour. Diadoc

The minimum tariff for 900 rubles. includes 100 documents. Allows you to exchange documents only with counterparties whose electronic document management operator is SKB Kontur. At the same time, the client can purchase the β€œMinimum” tariff plan no more than once a year.

Taxcom/1Π‘: EDO

There are two options for working, on which the payment for the operator's services depends. If you use the 1C-EDO solution, then the price is set by the 1C franchisee in your city. We didn't get a call for a week. The second option is to work directly, without being tied to 1C. In this case, as we understand, the minimum package for a year will cost 1800 rubles. and include 150 outgoing messages (each contains a package of documents, including 1 invoice).

VLSI

The minimum package is 500 rubles. per year, limited to 50 packages per quarter. The package can include any types of documents and in any quantity, but each must contain no more than 1 invoice. They charge a fee for connecting to the service - 500 rubles.

Synerdocs

Tariffs start from 2050 rubles. for 300 documents. Calculated per year.

Kaluga.Online/1C: EDO

The minimum tariff will be 1200 rubles. for 300 outgoing messages per year. Anything over - 10 rubles. per piece One message (package, set) can include 1 invoice and 2 related documents.

Sphere Courier

For connecting to the service, if you are not from retail, you will have to pay separately - from 300 rubles (250 + VAT). At a minimum rate of 300 rubles. (250 + VAT) you will receive 50 outgoing. Documents in excess of the tariff are paid higher - 7 rubles each. per piece Tariffs are valid for a month.

E-COM

The minimum tariff is 4000 rubles. It includes 500 outgoing documents per month.

In terms of 1 document in the minimum tariff received:

2. Availability of demo access

It is not possible in all cases to see what the work in the service looks like from the inside. On some sites, the service is explicitly registered (Kontur.Diadok, Synerdocs, VLSI), but somewhere I had to try: Sphere.Courier - they requested it via online chat, in E-COM the login / password from the test version was provided after a phone call . Failed to test Kaluga.Online/1C: EDO and Taxcom/1C: EDO.

3. Technical support

Hours of operation as stated on the website:

How we chose a service for electronic document management with customers

For the sake of interest, they called the indicated support numbers at 19.00 Moscow time. We got through to Kontur.Diadoc, though not very quickly. In Kaluga.Online / 1C: EDO, Synerdocs - no problem, in E-COM - silence, but something interesting happened with VLIS - they got to the company's regional partner (no one picked up the phone at that time). And they also recruited on the night from Saturday to Sunday those who declare the regime 24/7. Result: only got through to Taxcom/1C: EDO.

What else we managed to find out about technical support:

Contour. Diadoc

Diagnostics and configuration of the workplace is carried out using the Contour.Plugin. Other settings with the connection of a specialist are paid separately - from 2600 rubles. at one o'clock.

Taxcom/1Π‘: EDO

There is an online help on the site. You can choose the time of the call (depending on the load of support engineers).

VLSI

There is software for remote connection of a VLSI specialist (RemoteHelper.ru).

Synerdocs

The utility to configure the workplace (Helper) is used. Initial setup is free.

Kaluga.Online/1C: EDO

The workplace is set up by the partner. Departure or remote connection are paid separately.

Sphere Courier

There is a single software installer that allows you to install and configure the utility required to work with an electronic signature, Courier, and Reporting services. There are 3 tariffs for technical support. One is free, the rest are for extra money. Although the deadline for resolving issues is less.

E-COM

From the goodies: a separate manager is assigned to the company for free (they give him his mobile).

4. Integration

First of all, it was important for us whether there is integration with 1C. It turned out that everyone has it. That's just in almost all cases paid.

The minimum cost of integration with 1C per year:

How we chose a service for electronic document management with customers

Contour. Diadoc

The cost of integration with 1C is 11 rubles per year. Setting up with standard configurations - plus 800, with non-standard configurations - from 2300. Everything that goes beyond the basic integration solution is paid extra.

Taxcom/1Π‘: EDO

Integrated into the 1C-EDO module. You can exchange documents with counterparties if you have a subscription to 1C: ITS. The price is set by 1C - from 17 to 000 rubles. in year.

VLSI

To work, a tariff of 6000 rubles must be connected. in year. Any improvements are paid separately.

Synerdocs

It is provided free of charge with tariff packages from 1000 documents.

Kaluga.Online/1C: EDO

Everything is like in Taxcom.

Sphere Courier

Paid - from 6 rubles. in year.

E-COM

Paid - from 12 per year.

And a little more about integration:

5. Mobile solution

It seems not the most popular feature among services for the exchange of electronic documents. We only found out that there is an application for iOS and Android in Kontur.Diadoc. Plus, Synerdocs offers Viber and SMS mobile solutions for signing documents, and VLSI for notification of new documents. There is no information for other services.

6. Exchange in roaming

Finally, I will tell you about the most interesting. As in mobile communications, in electronic document management there are difficulties with the interaction of subscribers in roaming. Only it's not about services outside the service area. In the case of document management, roaming implies the possibility of exchanging documents between clients of different operators.

I repeat, there are more than 30 services in Russia. And not everyone has a roaming connection with each other. You can see with whom the EDI operator already has it, you can here.

On the one hand, almost all operators are connected to roaming centers - platforms that provide a secure exchange of invoices between customers of different services. On the other hand, the readiness of the operators themselves to set up roaming is different for everyone. Judging by the experience of our partners, the process is delayed in the case of Kontur.Diadoc and Taxcom / 1C: EDI, faster - VLIS and Synerdocs. There are no reviews for other operators.

And a little from myself

A paragraph for those who have read to the end. Which service we chose in the end, I will not tell. I can only say that the study was not useful - a large counterparty forced us to connect to its exchange service. No one in the company expected such an ending to this story.
