Indeed, this statement seems logical: the more interconnected and interdependent nodes there are, the greater the likelihood that the failure of one will compromise the entire device's functionality. We have all encountered such situations with office equipment, cars, and gadgets. However, in the case of software, the situation is the opposite: the more tasks corporate software covers, the faster and more convenient the work becomes, the more familiar the interface, and the simpler the business processes. Unification and end-to-end automation in a company solve problem after problem. But can a CRM system, which has long been seen as a tool for sales and managing a customer base, truly serve as such a

<noindex></noindex>
<noindex></noindex>

Business varies from company to company.

As long as a small or medium-sized business focuses on creating and selling services, software, advertising, and other intangible or conditionally tangible goods, everything is fine: you can be picky and choose. <noindex>CRM for customer management.</noindex> Based on the interface color and structure of the sales funnel, one can fuss over the color of the frames and the font of functional buttons and live relatively easily. But everything changes when production and warehousing are introduced into the company.

The fact is that production is generally focused on managing and optimizing manufacturing processes. In such companies, especially smaller ones, absolute priority is given to production work, while sales and marketing efforts often suffer due to a lack of resources, ideas, funds, and sometimes simply inspiration. However, as it is well known, in a capitalist system, producing is not enough; selling is essential, and since competitors are always alert, one must outmaneuver them with promotions and marketing. Therefore, the main task is to implement a CRM that will combine all components: production, warehousing, procurement, sales, and marketing. But how should it look, and most importantly, how much should it cost?

Manufacturing companies have a completely different approach to software compared to trading companies: the focus shifts sharply from interface frills to functionality, coherence, and versatility. Any automation must work flawlessly and support complex business processes, not just 'lead customers.' So if the choice is a CRM system, this 'CRM for manufacturing' should handle not only customer database tracking and sales funnels but also include complex production management mechanisms, integrated with inventory management and traditional operational functions familiar to any company.

Are there such CRMs for manufacturing? Yes. What do they look like, how much do they cost, and what language do they use? We will explore this shortly, but first, let's consider whether it's worth getting involved with a 'CRM for manufacturing' or if it's better to manage work in disparate sources.

CRM for manufacturing — why?

We are a vendor of CRM systems that has repeatedly encountered implementation in small and medium-sized manufacturing businesses, and we know that implementing a CRM in such a company is not an easy task, requiring time, resources, and a willingness to work with internal business processes. However, there is a whole list of reasons to start the implementation and see it through to completion.

The first and foremost reason for implementing a CRM in any company is the accumulation, systematization, and preservation of the customer base. For a manufacturing company, a well-organized customer database is a direct path to future profits: in the case of developing new products, components, or related services, it is always possible to upsell products to existing clients.

CRM helps organize sales. And sales solve many problems within the company. Good sales performance means profit, cash flow, and consequently a happy boss and elevated team morale. While I may be exaggerating here, this assertion is not far from the truth. When your sales are strong, it’s easier to breathe; you have the funds for growth, modernization, and attracting the best market specialists — in other words, you have everything you need to generate even more profit.

When you produce something and have a CRM system, you effectively gather all data on orders and sales, allowing you to accurately forecast demand and quickly adapt to new market requests, adjust prices or volumes, and timely remove products or services from the assortment. Additionally, sales planning and forecasting help in forming inventories and creating a production plan — when, how much, and what kind of product you need to produce. A well-structured production plan is key to a company's financial health: you can plan costs, purchases, equipment upgrades, and even hiring staff.

Again, based on the collected information, you can analyze complaints and eliminate defects. Moreover, a CRM system is a significant support and a guarantee of qualified work for the service department and technical support: you can view customer profiles, log their requests directly in the profile, as well as create and store a knowledge base for quick responses to inquiries.

A CRM system is always about measuring and evaluating results: what was produced, how it was sold, why it wasn’t sold, who was the weakest link in the process, etc. At RegionSoft CRM, we have gone further by implementing a powerful KPI system, customizable to the needs of any department within a company. This certainly adds +100 to the measurability and transparency of the work of those employees who are subject to KPIs.

CRM connects the company's 'frontend' (commerce, support, finances, management) with the 'backend' (production, warehouse, logistics). Of course, everything will still work separately, but words like 'fire', 'approval hell', 'where is the signature of this ****er', 'deadline mess', and polymers will often be mentioned (you didn’t forget them, right?). No kidding, the CRM itself won’t do anything for you, but if you set up business processes and don’t shy away from engaging in individual and collective planning, it will noticeably make working easier and calmer for the company. Whether to further develop automation will be your decision.

When all business processes within the company are based on a unified software platform (whether it’s CRM, ERP, or some advanced APS), you gain obvious benefits.

Security — all data is stored in a secure system, user actions are logged, and access rights are restricted. Thus, if a data leak occurs, it will not go unnoticed or unpunished, and in case of data loss, a backup will save you.

Consistency — all actions within the company are organized and planned, significantly reducing the execution times for work or services due to business processes and project management.

Effective resource management — planning and forecasting allow for proper inventory formation, preventing production slowdowns and regulating staff workload.

Cost-saving points — thanks to CRM, manufacturers can respond swiftly to demand changes, learn to capture seasonality, and thereby save significantly by avoiding overproduction and stockpiling.

Comprehensive analytics for management and strategy — today, making decisions without analyzing information is simply unacceptable. Collecting, storing, and interpreting data will give you a complete understanding of what is happening in your business, allowing you to make informed decisions rather than relying on intuition or the principle of 'let's see how it goes.'

Upselling paves the way for achieving high margins from selling new products and services without the need to invest in finding, attracting, and retaining customers — they are your old investments, all already in your electronic database.

Let’s return to the question posed at the beginning of the article — which CRM system should be implemented?

Implement a system that works immediately for everyone.

It seems there are no issues finding manufacturing process and sales management systems: primarily SAP, followed by Microsoft Dynamics, Sugar CRM. There are also domestic ERP providers. These are complex, cumbersome systems both in terms of implementation and operation, but they can address issues of end-to-end automation. Their capabilities are impressive, and the only thing more striking is the price. For example, experts estimate that the cost of SAP for small and medium businesses is around $400,000 (approximately 25.5 million rubles) and is justified for companies with a turnover of at least 2.5 billion. Renting the mid-tier Microsoft Dynamics will cost about 1.5 million rubles per year for a 10-person company (we did not account for implementation and connectors, without which this CRM would be meaningless).

What should small manufacturing companies across Russia do: manufacturers of industrial equipment, furniture, advertising production agencies, and other producers with a turnover of less than 3 billion, for whom a subscription fee of 1.5 million is a substantial expense, even if manageable?

We at <noindex>RegionSoft CRM</noindex> We don't just develop software; like any commercial company, we have a mission. Our mission is to provide functional and affordable automation tools for micro, small, and medium businesses so they can start working intensively as quickly as possible. We minimize development and marketing costs, thereby making our CRM cheaper than competitors in the same class — for example, the most advanced version. <noindex>RegionSoft CRM Enterprise Plus</noindex> will cost a company with 10 employees 202,000 rubles (for licenses), and this amount is a one-time payment, with no subscription fees. Well, okay, let's add about the same amount for customization and implementation (which, by the way, is not always necessary) — still, that's three times less than just renting licenses annually from other vendors with a similar spirit.

This raises another question — what will the company get for this price? A regular CRM with some level of security thanks to desktop use? NO. This is what we continuously provide to manufacturing companies:

Let's also simultaneously model how we can use all this functionality. Let's imagine a small fictional factory for producing construction sets and next-generation robots for robotics schools. We will create both standard and custom models.

SCP - Sales and Order Management Center. This is a logistics mechanism that processes and tracks the processes related to customer orders. Within the sales management center, customer orders can be registered, accompanying documents for the transaction can be taken into account, goods can be shipped to customers, and logistic analysis can be conducted, generating production orders and supplier orders (during which supplier offers are analyzed). Transportation logistics is implemented as well. Moreover, the SCP intelligently suggests the most popular items when processing a customer's order.

We received an order from the robotics school 'Robokids' for the purchase of 10 standard robots, 5 construction sets, and 4 custom robots - different sizes and with new software for older children. We enter the order into the SCP, and it gets sent to production managers, engineers, and economists. The economists need to calculate the cost of the 4 non-standard robots. How should this be done?

A technical and commercial proposal (TCP) can be prepared. We will enter into special forms the necessary components for our 'exclusive' robots according to their configuration and automatically calculate the cost of the product. Thus, the document consisting of nodes and parts will form our robot, and the client will receive a complete cost calculation via email, including development and assembly costs. At the same time, an analysis of available robots, construction sets, and necessary components has already taken place in production - if something is missing, orders have been sent to suppliers for the purchase of the missing components. <noindex>RegionSoft CRM</noindex> TCP Calculation Interface

The component described above

The component described above is a mechanism for TCC (technical-commercial proposals). TCC is a tool for preparing commercial proposals for the supply of complex technical equipment. Essentially, it is a builder that allows you to select the equipment configuration, including optional components, with a calculation of its cost. If a manager uses TCC, they can configure the compatibility of nodes and parts with the assembly object, determine the basic configuration, the number of necessary components, their technical specifications, and even a set of promotional information. This way, they can quickly prepare a proposal for the supply of equipment with detailed information on components, taking into account all discounts and markups, payment schedule, and promotional materials, if required. Moreover, the cost of the object and its components is calculated dynamically at the moment of changing/forming the configuration—there's no need to gather information from directories, tables, etc.

After that, a neat and detailed print form of the TCC can be created, issuing an invoice, act, waybill, and VAT invoice based on it.

Print form of the TCC

The parameters of the new robot were calculated in a software calculator—the engineer entered the parameters: height, width, and depth of the body, type of processor, number and parameters of the necessary boards, number of nodes, new number of components, new volume of paint, etc. Thus, they obtained the calculated cost of the robot, which became the basis for a less detailed TCC (the customer doesn’t need to know the cost of components and the full composition of the device).

Software calculators are an important tool for manufacturing companies. Imagine that you produce doors: interior doors for Khrushchyovkas, Stalin-style buildings, and new constructions, custom-made for high openings in cottages and summer houses. This means various-sized samples made from different materials. For each client, you need to calculate their order and ideally immediately load this profile into all documents. <noindex>RegionSoft CRM</noindex> This can be done using software calculators, where you can calculate the order based on parameters in less than 1 minute. The software scripts are open, so any user with programming skills can ensure any, even the most complex and customized calculation method.

To assemble 5 out of 10 robots, we were short a few boards and two processors, because 2 were recently sent for replacement of the 'brain' under warranty. Right from the CRM, the production manager sent a request to the supplier, while recalculating the needs. At the same time, the customer approved the technical proposal, and our managers generated an invoice in the CRM and sent it for payment. Once it’s paid, we kick off production for this order.

Directly from RegionSoft CRM, you can create supplier requests in several ways: through sales analysis (based on registered sales in inventory accounting), through invoice analysis, through the product matrix, through ABC analysis (auto-request based on customizable criteria — the system itself analyzes product sales over a period based on the Pareto principle and generates requests for product groups). After the request is generated, it goes into the request log, can be exported to a file, or sent directly to the supplier's email.

By the way, about product matrices. This is also an important tool that serves as a registry of purchase prices, indicating suppliers, the validity periods of these prices, as well as additional characteristics.

In RegionSoft CRM, starting from the Professional Plus edition, built-in inventory accounting Regarding two models: batch accounting and average accounting. The choice of which accounting type to use depends on your company's needs and responsibilities; we will briefly explain this for those who are not yet familiar with the topic. Batch accounting is based on registers of batches, accumulations, and totals by warehouses. The most common FIFO principle is used in batch accounting. In the case of batch accounting, only items from batches that remain can be written off, meaning that writing off items that are in the negative is impossible. This method is suitable for wholesale sales, especially if you need to reserve goods for shipment to a client. Average accounting is more suitable for retail sales: it does not account for batches and allows items to be written off in the negative (which are not physically present in the warehouse due to reasons like mis-sorting). Naturally, RegionSoft CRM allows for virtually all warehouse operations and automatically generates and creates printed forms for all primary documentation (from invoices to technological maps and receipts).

So, we have started assembling robots for our large order; we have set up batch accounting in our warehouse.

Manufacturing functionality is based on warehouse accounting, integrated into the RegionSoft CRM Enterprise Plus version and includes a number of mechanisms aimed at automating production output and managing production resources. We must warn you — do not confuse the manufacturing functionality in the CRM system with APS, although there are some points of intersection. Still, APS is software where production is primary, while CRM is a program where commerce is primary and seamless automation of small and medium business operations is important.

<noindex>RegionSoft CRM</noindex> supports both simple one-step production (purchasing components, assembling a PC, selling the PC to a corporate client) and multi-stage production, where the output is produced in several steps (for example, first enlarged nodes are assembled from components, and then the PC is assembled from these nodes and additional components). In RegionSoft CRM, it is possible not just to 'assemble system N from subsystems n, m, p,' but operations for reassembly, transformation, document creation, cost calculation, technological map creation, etc. are also supported.

We are still assembling robots, and we use a multi-step rather than a simple production process. This is because we receive disparate components, assemble parts first, and then create robots from those parts, with software being prepared at a third stage. We take inventory by item, including body elements, electronics, peripherals, various fasteners and bolts, smart boards, and processors, and produce the robot. Simultaneously, all necessary components for robot production have been accounted for in our inventory. We form the order and ship it to the customer; all documentation is generated in just a few clicks.

It's a pity that we don't actually manufacture robots, and schools purchase them from Lego or Chinese manufacturers 🙂

If you use <noindex>RegionSoft CRM Enterprise Plus</noindex>, you don't just receive a few additional modules—many segments of the interface are tailored to meet the needs of such clients. For example, when filling out the product item's card, the user can also fill in the 'Production' section, detailing the product warehouse, production specification, technology map, production technology by stages, and a free-form description of the production. The card also includes sections related to the KPIs, which will help generate the KPIs in a few clicks.

Incidentally, all these mechanisms can be applied to any type of production: from food to helicopter assembly. It simply requires the willingness and understanding of how deeply and competently you are ready to automate production processes.

And, of course, the connecting link among all these components is business processes. All routine and standard tasks, all processes must be automated—that is, ideally, your CRM should have a business process modeling system where tasks, responsible individuals, deadlines, triggers, etc. are outlined during creation. This entire set should function smoothly and effectively organize all employees to solve the next macro-task (for example, producing a batch of robots and coordinating a complex KPI).

A lyrical-technical epilogue

At one event, a colleague was asked: 'How do you (RegionSoft CRM—not a colleague, — ed. note.) Do you look more like Basecamp or more like 1C? In fact, this question has often been asked more professionally, but never so naively and at the same time so precisely. It's clear that it referred to the complexity of the interface. And there is no answer to this question; rather, one could write a whole philosophical treatise about it. The widespread availability of the web and the relative accessibility of programming have led to a flood of simple solutions for business management and task management in companies: honestly, break it down for me, what are the fundamental differences between Asana, Wrike, Basecamp, Worksection, Trello, etc. (excluding the Atlassian stack)? The difference lies in design, features, and the degree of simplification. It's on the basis of this trio of features that modern software for small businesses has begun to compete. Then the developers of some of such software realized that businesses were searching for CRM solutions, and that's how numerous

lightweight

<noindex>CRM ++ </noindex>For many companies, the only way to streamline processes, make work more intensive, and free up a significant portion of the most valuable asset—human labor. Yes, implementing a CRM in a manufacturing company is always a bit more complex and prolonged than, for example, in a retail company, but it is a very justified expense. You have an experienced staff with salaries, expensive equipment, reliable suppliers, your own know-how and developments—the business flywheel is in motion. Comprehensive automation through CRM will make that flywheel spin faster. Therefore, the business will become more productive.

Source: <a content="nofollow" rel="nofollow"
