I want to share my experience with the evolution of database systems in the online language school GLASHA.<\/p>\n

The school was established in 2012, and in the beginning, it had only 12 students, so there were no issues with managing schedules and payments. However, as it grew and new students joined, the question of choosing a database system became urgent.<\/p>\n

The task was to create:
\n<\/a><\/noindex> <\/p>\n

    \n
  1. a directory of all clients (students), retaining their full names, time zones, contact information, and notes;<\/li>\n
  2. a similar list of teachers with the same information about them;<\/li>\n
  3. to create a schedule for the teachers within this system;<\/li>\n
  4. to implement automatic lesson log generation;\n

  5. to track the history of lessons;\n

  6. financial accounting for both the deductions from students' budgets and payments to teachers;\n

  7. a scheme for tracking debtors among students;<\/li>\n
  8. a notebook for notes about lesson nuances with pop-up reminders.<\/li>\n<\/ol>\n

    \nStrangely enough, all this complex reporting was accomplished using Excel.<\/p>\n

    Moreover, the spreadsheets allowed for combining students' budgets into one (if they were family members), merging teachers' budgets (if they represented partner schools), entering different coefficients for teacher payments, setting different pricing for students, tracking bonuses and penalties for Skype school operators, and viewing analytics on payments and lessons.<\/p>\n

    However, when the number of students increased to two hundred and the number of teachers to 75, this functionality, pushed to the limits of Excel, became inconvenient. <\/p>\n

    First, the number of reports became insufficient for the management system; second, the offline version required regular cleaning to maintain high speed. Additionally, integration with bots for checking available slots with teachers, checking balances upon student request, sending SMS about lesson cancellations, etc., was necessary.<\/p>\n

    And over time we created the GLASHA web application, which is essentially an ERP system<\/a><\/noindex>, which allows for planning teacher workloads, managing personal student class schedules, and keeping financial records. Thanks to this, various forms of reporting have become available, the need for monthly database adjustments has been eliminated, a client personal account can now be created to upload homework, tests for knowledge checks, link schedules to each student\u2019s time zone, etc.<\/p>\n
