Personal experiences in self-organization from the department head" src="/wp-content/uploads/2019/12/c75c117aa36ba1de7057983da9ea3d7f.jpg" style="display:block;margin: 0 auto;" />

Why 17, you may ask? Because my journey in IT started exactly 17 years ago. For the last decade, I have been working at "Infosystems Jet," where I grew professionally. But today, I won't talk about corporate life experiences; instead, I'll discuss self-education and the literature that has helped me throughout these years.

The first need for conscious self-organization arose when I was still working as a business analyst in the early 2010s. At some point, I had a massive amount of tasks, and I sought advice from a colleague who always carried a planner. He suggested a time management book to me. That’s how I became acquainted in 2012 with Gleb Arkhangelsky's book "Time Drive." Gleb details how to manage time and offers his own system of tracking and planning. It was from him that I first learned about "frogs" that need to be "eaten" in the mornings. A "frog" is what he (or perhaps someone before him) referred to as an unpleasant task. By completing one of these tasks in the morning and then realizing you have no more of them left, you will experience incredible satisfaction. He also told me that "an elephant should be eaten in pieces": meaning if you have a massive task, you need to break it down into parts and "eat it in bites." That’s how paper planners appeared on my desk (not to be confused with notebooks, which have always been around and still are), and inside them were my notes.
<noindex></noindex>

In 2014, there was a significant acceleration in development; there was a lot of work, and the company was soaring like a rocket. During urgent situations, I continued to apply the methods I had somehow remembered—"frogs," "elephants," writing tasks on notes. One day, my colleague Vitaly suggested I set aside a day to stay late at work and tackle everything I had. I don't know if he had read any books, but intuitively he used a tactic that I had encountered in several books: the "weekly review." For instance, my wife constantly maintains an electronic list of her tasks on her iPhone, and she never forgets anything (to my dismay =(. Keeping such lists is yet another popular (key) method.

In 2015, I had to help my colleagues for a while — I needed to test functionality and sit on the client side. My responsibilities grew: I tested, analyzed errors, coordinated several teams, determined the flow of errors, and maintained various logs for the developers and also for those other guys. In February 2016, my colleague went on an extended vacation, and I was offered the position of coordinator between two departments of the company. I agreed, thus committing myself to seek new opportunities for self-organization.

I continued to use my paper planners (and notepads), but I started to conclude that I needed some electronic tool as well. I chose EverNote. It was similar to the paper version, but searching for information was easier, and it was accessible from many devices. When EverNote became paid for all platforms, I switched to OneNote, which still accompanies me — strictly as a replacement for paper for notes plus for storing reference information that I constantly use. Its main advantages are that it is cross-platform, free, and synchronizes well, despite being a Microsoft product. Also, it is cloud-based.

In 2017, I began learning to explain my thoughts clearly using visual tools — not so much learning to draw as practicing. I drew pictures about my daily plan — it works well, and it's fun.

In 2018, the number of tasks became overwhelming (a group was formed under my leadership). I once again sought advice from friends, and my colleague from "Infosystems Jet," Masha, recommended a fantastic book – "Jedi Techniques" by Max Dorofeyev. In fact, just like Gleb Arkhangelsky, Max Dorofeyev offers his own system for managing time, oneself, and tasks. Max was the first to point out to me that I was actually under significant stress from trying to keep all my tasks in my head (despite having notebooks, planners, and the like). He suggests simple techniques for relieving yourself, such as the "Nighttime Crowbar" – when you lie down to sleep, instead of drifting off normally, you start to think, "Oh no, I forgot to do this!" He also recommends spending five minutes to sit down and review your entire day in reverse. During this review, you'll recall things you wanted to do but didn't write down. When you remember, write it down in your self-organization system where you keep your tasks, or just on a piece of paper. You should continue this all the way until the end of the day. It truly helps (give it a try, don't be lazy).

Additionally, the author addresses the issue of procrastination: he suggests breaking tasks down into the simplest, clearest first steps that need to be taken. He also explains tasks intelligently: for each task, you should answer the questions 'what? why? when? how many?' and, most importantly, formulate the first physical action that needs to be taken to achieve the goal (to complete the task or project). He talks about why we procrastinate, the nuances of motivation, and provides many useful tips on concentration. One of the tips I applied was to mark all incoming emails as read, so they wouldn't distract me, and read them only when I needed to. Previously, new emails constantly pulled me away from the tasks I was working on. Following Max's advice, I also turned off all notifications, which was frightening! I had to force myself. I told myself: 'Roma, if something really happens, you will first get an SMS, and in a more serious situation, someone will call you.' I truly felt the difference: it lifted the initial wave of stress off me. Then, I began to implement other practices that helped free my mind for contemplating life at a higher level of perception. However, the path to 'enlightenment' still lies ahead of me.

In addition to the already mentioned books, I can recommend titles such as 'Someday', 'Daily Life Hacks', 'Getting Things in Order', and 'Unfuck Yourself: Stop Feeling Like Shit'. They clarify some specific issues and support personal motivation.
Recently, I've learned to cope with the influx of tasks, although they haven't decreased, I still feel the need for further development.

<img decoding="async" alt="17 moments in IT. I would appreciate your advice.

Roman Gribkov, head of the service projects group at 'Infosystems Jet'

Source: <a content="nofollow" rel="nofollow"
